We're Hiring - Part-Time Volunteer Coordinator (Charlotte)

VOLUNTEER COORDINATOR JOB DESCRIPTION 

Supervisor: Chief Operating Officer (COO) 

Classification: Non-exempt, hourly, 15 hours per week  

Alongside Families is seeking a part-time (15 hours per week) Volunteer Coordinator for oversight and facilitation of volunteer approval from receipt of an interest form or application through final approval steps. The Volunteer Coordinator will also be responsible for creating a volunteer appreciation program that creates an environment of celebration and care of volunteers and will also schedule, plan and execute volunteer trainings, events, and celebrations. This role also performs administrative duties integral to volunteer coordination, including management of MailerLite and email lists, communication with Ministry Coordinators about volunteer approval, and facilitating sign-up of volunteers for training. Alongside Families is a non-denominational, Christian nonprofit religious organization with a statement of faith and Christian fellowship commitment that all board members, staff, partner churches, and volunteers affirm.

Our dedicated volunteers serve the community and are supported and directed by our staff who passionately invest their lives in engaging churches, supporting and training volunteers, coordinating the hosting of children and coaching of parents, and much more.

QUALITIES & SKILLS NEEDED Excellent organizational skills, attention to detail, able to prioritize importance of tasks, ability to multi-task, and to stay calm in difficult situations. Must be very self-motivated and able to work efficiently and effectively without needing close oversight. Comfortable engaging in clear discussions about faith and personal salvation testimony. Excellent verbal and written communication skills, compassion, discreet in dealing with sensitive and confidential information, discernment, integrity, motivation, and strong faith. Has a heart to embody a culture of warmth, celebration, and care for volunteers focusing on people, events and training. Able to plan and execute training and celebration events.

Bachelor’s degree or equivalent experience required. Volunteer and/or team management experience preferred. Must be able to easily navigate various technology platforms. Strong speaking and group training skills and experience strongly preferred.

1. Volunteer Onboarding & Administration 

  • Responsible for oversight and facilitation of volunteer approval from receipt of an interest form or application through final approval steps 

  • Perform administrative duties integral to volunteer coordination, including management of MailerLite and email lists, maintain current, updated email and newsletter lists, communication with appropriate team members about volunteer approval, and facilitating sign-up of volunteers for training, maintain current, updated email and newsletter lists 

  • Schedule all volunteer training events and coordinate all the details. Volunteer training takes place on the weekend approximately every 6-8 weeks. The Volunteer Coordinator must be present at each training. The following designates sample tasks that are required (but not limited to) 

  • Coordinate with fingerprint tech 

  • Execute volunteer training  

  • Create and oversee training sign-up forms 

  • Create packets to give to each person at training with approval process, next steps, etc 

  • Ensure volunteer approval process is followed for staff  

  • Facilitate communication with potential volunteers and complete volunteer approvals  

  • Complete an initial interview phone call with prospective volunteers that includes a thorough overview of Alongside Families as a church-led ministry and an explanation of our statement of faith; Recommend whether or not to proceed with a volunteer 

  • Complete all required forms and documentation and ensure that data is thoroughly up to date and safeguarded into the CMS 

  • Complete approval updates and recertifications for current volunteers as needed 

2. Volunteer Appreciation and Events 

  • Create and implement a volunteer appreciation program for welcoming, celebrating, and recognizing volunteers throughout their service with Alongside Families 

  • Create a volunteer welcome packet to send to each newly approved volunteer

  • Evaluate volunteer experience and engagement to identify and implement touchpoints that create a standout customer service experience throughout their Alongside journey.  

  • Develop and send out regular training/encouragement materials to equip volunteers ongoing (short training videos, devotions, learning articles and resources, etc.) 

  • Be responsible for planning and logistics of volunteer events including, but not limited to, identifying and scheduling event space, identifying and communicating with vendors and speakers, food and event decor, and coordinating and overseeing all event logistics.  

3. Leadership and Communication Responsibilities  

  • Be prepared to report on activities related to each area of responsibility as well as actively participate in discussions about other areas of the ministry; Complete weekly statistical reports and share one meaningful story from each week in the report as well.  

  • Facilitate introductions and connection to church Ministry Coordinators for each prospective volunteer. 

  • Develop and send out regular communication and marketing graphics for promotion of Alongside Families in partner churches; Ensure Ministry Coordinators are well-equipped with everything needed to promote events within their church 

Other Considerations: 

Other duties in addition to those listed above may be assigned. All Alongside Families team members share in all work needed to meet the current needs of the ministry. Work during evenings and weekends will be needed at times (events, training) and may be added to the on-call rotation at times.  

Location and travel: This is primarily a remote position, but candidate must be available to work in-person with other team members one day per week and as-needed for other meetings. Candidate must live in the greater Charlotte area. Candidate must be able and willing to transport clients (adults and children) when needed and must have their own reliable transportation, automobile insurance, and a driver’s license.   

Background checks and reference requirements: Candidate must be able to pass background checks: FBI fingerprinting, federal and state criminal background checks, sexual offender registry, and child abuse registry. Alongside Families is a nonprofit religious organization: In compliance with our bylaws and policies, candidate must provide a suitable pastoral character reference from a local church they are regularly attending and actively committed to and must adhere to and sign the Alongside Families Statement of Faith and Christian Fellowship Commitment. 

Compensation: 

  • Mileage reimbursed at the federal mileage rate 

  • Pay rate: $21 per hour
